What this policy covers
This policy covers the Client Station website, Studio, client portals, and related support or communication workflows. It does not replace a signed data processing agreement, security addendum, procurement agreement, or custom contract. If your organization needs one, contact us before relying on the service for regulated or high-risk work.
Information we collect
- Account and admin information, such as names, emails, monday.com account/workspace identifiers, installation details, and support messages.
- Portal configuration, including branding, views, access settings, contact lists, permissions, published portal definitions, and setup choices.
- monday.com workspace data that you connect to Client Station, such as boards, items, columns, files, updates, statuses, and related metadata needed to render portals and Studio previews.
- Client portal activity, such as portal visits, viewed items, comments, uploads, approvals, signatures, timeline activity, read states, replies, mentions, and notification delivery states.
- Operational data, such as server logs, device/browser details, error logs, audit logs, security events, and basic website analytics needed to keep the service running.
How we use information
- To provide Studio, client portals, timeline/history, messages, uploads, approvals, reminders, notifications, and other product features.
- To authenticate users, enforce portal access, prevent misuse, debug issues, provide support, and maintain service reliability.
- To improve the product, measure feature usage, understand errors, and communicate important product, support, billing, or security updates.
- To comply with legal, tax, accounting, security, abuse-prevention, and contractual obligations.
What we do not do
- We do not sell personal information.
- We do not run third-party advertising networks on the Client Station website.
- We do not intentionally expose your monday.com data or client portal data to unrelated customers.
- We do not claim that the service is a replacement for your own legal, compliance, security, or records-management obligations.
Service providers and integrations
Client Station depends on third-party providers to operate, including monday.com, hosting infrastructure, email/notification providers, logging and monitoring tools, Google Fonts, and Google Calendar booking links. These providers may process data for us or for you depending on how you use the service. We choose providers for practical business reasons, but we cannot control every third-party service or guarantee their independent behavior.
Retention and deletion
We keep information for as long as needed to provide the service, support customers, secure the product, satisfy legal or billing obligations, and preserve reasonable audit trails. Some data may remain in backups or logs for a limited period after deletion. You can request deletion or export help by contacting us, but deletion may be limited where data is controlled by monday.com, required for legal reasons, or necessary to protect the service.
Security
We use reasonable technical and organizational safeguards for a small software business, including access controls, HTTPS, authentication, logging, and operational monitoring. No internet service is perfectly secure, and we cannot guarantee that unauthorized access, outages, data loss, or third-party incidents will never happen.
International processing
We are based in Canada and may use service providers or infrastructure in Canada, the United States, or other regions. By using Client Station, you understand that data may be processed outside your province, state, or country.
Your responsibilities
- Only connect monday.com workspaces, boards, contacts, files, and client data that you have the right to use with Client Station.
- Configure portal access carefully and review what each client can see before sharing links.
- Provide any notices and obtain any consents required from your employees, clients, vendors, or other portal users.
- Tell us promptly if you believe an account, portal, link, or integration has been compromised.
Children
Client Station is a business product and is not directed to children. Do not use the service to knowingly collect personal information from children without the required authority and consent.
Changes and contact
We may update this policy as the product, providers, laws, or business needs change. The updated date above shows the latest version. For deletion requests, privacy questions, a data processing agreement, or a custom contract, email [email protected].
